When a supplier has been short listed for a tender, or has expressed an interest for a open contract that has been advertised, they will be sent tender documents which must be returned by the specified closing date which is typically four to six weeks after the advert first appears. The tender documents will include all or some of the following:
Information to tenderers:Providing background information about
the tender
Instructions to tenderers:Providing guidance
on the completion of the tender documentation, including the deadline and details for submission, and
details of the award process
Specification: Providing
details of the contract requirements and what needs to be achieved, including any performance standards
Criteria
for evaluation: All tenders will contain a section on how the contract will be evaluated, including
weighting applied to each section.
Requests for other information;where appropriate, relating to,for example,environmental, safety and Equalities matters
Form of tender: will contain the pricing schedule to be completed
and signed by the tenderer. More detailed information may also be requested dependent upon whether a
pre-tender questionnaire was required
Tender certificate:To
be signed by the tenderer
Guarantee of undertaking: Required
if the tenderer is a subsidiary
company
Tender envelope or label: To be used for
the submission of the
completed tender.
Depending on the type of the contract it may take some time to evaluate the tenders received. An indication will be given in the tender documents of the time this is likely to take. |
